Installation & setup, start to finish

Every refurbished printer we ship includes this guide. Follow the steps in order — most units are unboxed and printing within 20–30 minutes.

Before you start

Keep the original box and packing material for at least 30 days in case a warranty exchange is needed. Place the printer on a flat, stable surface with at least 6 inches of clearance on all sides for ventilation.

  1. Unbox and inspect

    Remove all shipping tape, foam inserts, and plastic film from the paper trays, scanner glass, and cartridge bay. Check the unit against the included packing slip to confirm the model and accessories match your order.

  2. Install toner, ink, or drum units

    Open the front or side access panel and install the toner cartridge or ink tanks that shipped with your unit. Refurbished units ship with a starter cartridge — remove any orange shipping locks or tape from the cartridge before inserting it.

  3. Load paper

    Fan the paper stack before loading to prevent jams, then adjust the tray guides to fit snugly against the paper without bending it. Set the tray's paper-size dial or on-screen prompt to match, if applicable.

  4. Connect power and turn on

    Plug the printer directly into a wall outlet — avoid extension cords or power strips where possible. Power on and wait for the initial calibration cycle to finish; this can take 2–5 minutes on first boot.

  5. Connect to your network or computer

    For Wi‑Fi models, use the printer's control panel to select your network and enter your password, or use WPS if your router supports it. For USB connections, connect the cable only after prompted during driver installation. For Ethernet, connect the cable to your router or switch before powering on.

  6. Install drivers and software

    Download the current driver package from the manufacturer's official support site using your model number, rather than any disc that shipped in the box, since drivers are updated more often than physical media. On Windows, go to Settings > Devices > Printers & scanners > Add device. On macOS, go to System Settings > Printers & Scanners > Add Printer.

  7. Run a test print and align cartridges

    Print the built-in test or alignment page from the printer's control panel menu. If print quality looks streaky or faded, run the manufacturer's built-in cleaning and alignment cycle once — refurbished units occasionally need one extra alignment pass after shipping.

  8. Register your warranty

    Email your order number and printer serial number to support@usaexperts.com to activate your USA Experts warranty coverage.

Common first-run issues

Faint or streaky prints usually clear up after one cleaning cycle. Wi‑Fi drops during setup are often fixed by moving the printer closer to the router for the initial connection, then relocating it afterward. "Cartridge not recognized" errors are almost always shipping tape left on the chip contacts — recheck the cartridge.
